These terms cover your use of Mediumlink, the app provided by Mediumlink UK Ltd. When you sign up, you accept them.
1. Who can use Mediumlink
Mediumlink is built for UK Gas Safe registered engineers, sole-trader heating businesses, and small heating companies. When you create an account you confirm that:
- You are 18 or over
- You are Gas Safe registered, or you act for a registered business
- You have authority to sign these terms on your own behalf, or on your employer's behalf
2. What Mediumlink does
Mediumlink gives you software to write, send, store, and verify gas safety certificates (CP12 and CP17), invoices, quotes, and job sheets. We make the software. We do not assess gas work. Your certificate is valid because of your competence and your Gas Safe registration. It is not valid because of our software.
You are responsible for every technical detail on every certificate, the inspection you carried out, any warning notice you issue, and compliance with the Gas Safety (Installation and Use) Regulations 1998.
3. Your account
Give us accurate details when you sign up. Keep them current. Keep your password private. You are responsible for everything done with your account. Email [email protected] straight away if you think someone else has used it.
4. Things you must not do
You agree not to:
- Create false, misleading, or fraudulent certificates
- Issue a certificate for work you have not personally inspected
- Reverse-engineer the app or try to read our source code
- Probe or scan the app for vulnerabilities, or try to bypass rate limits
- Run scripts that hammer our servers
- Resell, sublicense, or white-label Mediumlink without our written permission
- Use Snap & Fill on photos that show people, children, or any personal document
We can suspend or close your account if you do any of the above.
5. AI features
Snap & Fill uses a third-party AI (Anthropic Claude) to read appliance nameplates from your photos. Treat it as a convenience aid. Check every field it fills in before you save or issue a certificate. We do not guarantee the AI reads everything right.
6. What you pay
We show the price and any free trial period on the pricing page when you sign up. VAT is added where it applies.
The free trial never turns into a payment on its own. We ask for a card at signup so you can subscribe in one tap later, and we save it without charging it. When the trial ends the app locks and you choose whether to subscribe. Walk away and nothing is taken.
Once you subscribe, Stripe takes the money on each renewal date. You get an email with the invoice every time.
You have 24 hours to change your mind about any payment. Ask for a refund inside 24 hours of a charge and you get all of it back, from the Subscription tab in the app, no questions. We end the subscription at the same time, because the month you paid for is being returned.
After 24 hours we do not refund a month already paid for. Cancel any time from inside the app and cancellation takes effect at the end of the period you have paid for, so you keep the app until then. Nothing here removes rights the law gives you, including the 14-day cancellation right under the Consumer Contracts Regulations 2013.
7. Your data
You own the data you put into Mediumlink. You give us a worldwide, non-exclusive licence to host, transmit, and back up that data so we can run the app for you.
Where the data includes information about your customers, you are the data controller and we are your processor. Our Data Processing Addendum at mediumlink.uk/dpa sets out that relationship in the form UK GDPR Article 28(3) requires: what we process, on whose instructions, who else touches it, and what happens when you leave. It forms part of these terms.
8. When the app is up
We aim to keep Mediumlink running 24/7. We do not promise uninterrupted service. We tell you about planned maintenance in advance where we can. We provide the app "as is" and "as available", and we exclude implied warranties to the maximum extent the law allows.
9. What we will and will not pay if something goes wrong
We do not limit our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Anything else UK law says we cannot exclude
For everything else, our total liability in any 12-month period is capped at the greater of (a) the fees you paid us in the 12 months before the claim, or (b) £100.
We are not liable for lost profit, lost goodwill, or any indirect or consequential loss.
10. Indemnity
You cover us against any third-party claim that arises from your breach of these terms or your misuse of the app. That includes any claim from your customer, your employer, or a regulator about a certificate you issued.
11. Closing an account
You can close your account any time from inside the app. We can close or suspend yours straight away if you break these terms or stop paying. After closure you have 30 days to export your data. After that, we delete it as described in the Privacy Policy.
12. Changes to these terms
We may update these terms. For a material change, we email you or show a banner inside the app at least 14 days before the change takes effect. If you keep using Mediumlink after that date, you accept the change.
13. Which law applies
These terms are governed by the laws of England and Wales. Any dispute goes to the courts of England and Wales. Either of us can still ask another court for interim protection if needed.
